Job Description:

Job Purpose:

The main function of this role is to act as the EMEA regional video conferencing complex meeting coordinator. Reporting into the EMEA Media services manager; you will be responsible for ALL aspects of the service provision from scheduling, booking, and overseeing all meetings that require audio visual components. To the recording of metrics, and equipment optimisation.  The basic criteria used to define this type of meeting includes: 
* Town Halls.
* Broadcasts.
* Senior global announcements.
* Events with press involvements.
* TelePresence calls.
* Trade/road shows.  Each coordinator will work with their counterparts, in the other regions to achieve this goal.

In addition to overseeing these events, this role would provide strategic project management, focused on ensuring that the multimedia equipment and resources in place, meets the business requirements of the EMEA region, helping to ensure a global multimedia stability program and service continuity. 

Candidates must possess all around, detailed knowledge of current audio visual equipment, and demonstrate a thorough understanding of how it interfaces within a working environment.

Citi Executive Services provides a wide range of support services to the Company.  It includes Dining, Conferencing, Global Event Marketing, Aviation, Client Entertainment, Vending and Reception Services

Regional:

Media services in EMEA provides Conferencing, Multimedia, and Switchboard Services.

Key Responsibilities:

Assisting the Manager of Media Service EMEA in the formulation of strategy and global co-ordination to ensure delivery of an exceptional level of service throughout the region. 
* Primary "go to" person responsible for the scheduling, booking and coordination of all EMEA based events requiring Audio visual components.
* Provide operational and functional guidance to customers. Primary liaison between customer, reservations, bridging service providers, local audio visual technicians and other Multimedia Coordinators across regions.
* Help ensure seamless end-to-end execution of defined events.
* Record statistical data for inclusion of weekly/Monthly reporting cycles.
* Report, track and lead problem ticket and fault scenarios to their successful conclusion.  Implementation and delivery of the agreed Executive Services strategy for EMEA 
* Attend weekly Video Conference Scheduling meetings and confirming schedule for EMEA region.
* Identify trends and risks from a regional and global perspective.
* Assist in the technical design specifications.
* Assist in the multimedia capital projects and track progress.
* Conduct regular/periodical connectivity tests to all EMEA sites, recording all findings.
* Ensuring Best / Industry Leading Practice.
* Benchmarking service levels within market sector to ensure value for money and that the Citi brand is fully supported at all times.
* EMS - EMEA Administrator. First level support for all UK locations includes training, configurations, and reporting.  Financial & operational performance management including. 
* Maintain the EMEA media services database.
* Conduct half yearly reviews of all EMEA sites, recording and tracking all changes to equipment (hardware & Software) and support staff, including changes to contact details.
* Track and report metrics.
* Assist in the capital project bid process
* Establishment and measurement of service levels & KPIs in line with leading best practice.
* Co-ordination of internal client user groups to obtain direct feedback on services and the implementation of suggested action points as appropriate.
* Project management on a regional and global basis as required.
* Ensuring legislative compliance of all supplier contracts under direct control and that suppliers comply with Citi's Health & Safety and Environmental policies and guidelines at all times.
* Working with suppliers to ensure continuous improvement in the delivery of service in the most cost effective manner.  Developing strong working relationships with other key functions, i.e. Finance, Global Strategic Sourcing, Security, Critical Engineering Systems and Maintenance.
Executive Services' core operating hours are 8am - 6pm and operational supply of all services must be provided during these hours.  Individuals must be prepared to work the core hours on a daily basis.

Candidate Requirements:

Knowledge/Experience:

Solid understanding of event and meeting planning requirements

Technical multimedia knowledge

Experience of working within a demanding fast-paced environment to very high standards.

Experience of working with all levels of management within a large blue chip organisation.

Experience of setting, managing and monitoring Service levels and KPI's in a soft services environment.

Candidates will have a good background of service with a combination of meeting coordination and audio visual support.

Qualifications:

Candidates will have a higher education background with a minimum of an audio visual related CTS Certification, Associate's Degree or equivalent.

Exceptional candidates who do not meet the educational criteria may be considered provided they have the necessary skill set and experience, combined with additional vocational qualifications, Diplomas or industry equivalent or awards.
